Library Board Meeting Minutes
May 12, 2008
Chairman
Annette Sosa called the monthly meeting of the Stevens County Library Board of
Trustees to order. Those in attendance
were Annette Sosa, Heather Augustine, Laura Hull, Charlotte Veatch, Lisa
Whitham, Stacey Strickland and Eunice Schroeder. Also in attendance was
Emily Sitz, SWKLS Director and Kay McDaniel from the Hugoton Hermes.
The
agenda was approved with the addition of “Carpet” under new business. Minutes were approved as printed. Correspondence included a thank you from
Louise Quintana, a graduation announcement from former employee Shay Hickey, an
acknowledgement from the American Cancer Society for the contribution from the
Festival of Trees, the registration book from the Photography Display, a photo
of the State Librarian’s Luncheon at Kansas Library Conference, and a copy of
the bugs that will be awarded at summer reading.
Heather
moved and Laura seconded to approve the financial report, receipts and
disbursements for April 2008. Motion carried.
The
Director’s and Assistant Director’s report were presented. (See attached).
The
library received a Major Tech Grant from SWKLS in the amount of $1,000.00 that
was used to help purchase the new telephone/public address system for the
library.
The
sound system is in and was used for the P.E.O. Hugoton and Moscow Senior Girls’
Tea. Heather will have someone look into
the wireless headsets so they are ready for use during summer reading.
Tony
McBride and Trinidad Don Juan examined the stone at the base of the window
outside the meeting room and reassured us that the stone is in no danger of
falling off the building.
A
copy of the staff meeting minutes was sent to board members.
Five
people attended the Love and Logic Program.
The “Milk Comes From A Cow?” program is on the
calendar. We received email confirmation
that our library has received a grant from SWKLS for summer reading, but have
not yet received the money. A portion of
the equipment for the Kan Ed High Definition Video Conferencing System Grant
and equipment has been received.
A
check for $15,000.00 from the 2007 budget was presented to the Stevens County
Commissioners.
Lisa
Whitham was officially introduced as the new Stevens County Library board
member.
The
revised budget for 2009 was discussed.
In order to receive accreditation from the state, the library will take
full service from the system, which will include large print materials from the
rotating collection. Heather moved and
Charlotte seconded to approve the 2009 budget as presented. Motion carried.
Charlotte
moved and Laura seconded to close the library from Tuesday, July 29 at noon
through Thursday, July 31 for cleaning, repair and book sale setup, and reopen
the library on Friday, August 1 at the usual time. Motion carried.
Election
of officers for the Stevens County Library Board of Trustees was held. Lisa moved and Heather seconded to accept the
slate of officers as follows: Chairman –
Annette Sosa; Vice Chairman – Heather Augustine; Secretary – Charlotte Veatch; Treasurer – Laura
Hull. Eunice Schroeder will serve as the
SWKLS Representative and Stacey Strickland will act as Recording
Secretary. Motion carried.
The
meeting room carpet was discussed. No
action was taken.
Charlotte
moved and Annette seconded to go into executive session to discuss personnel
matters of non-elected personnel at 7:36 p.m. for ten minutes and to return to
open session at 7:46 p.m. Motion
carried. The Stevens County Library
Board of Trustees returned to open session at 7:46 p.m. with no action taken.
